Introduction to final Submission
- The reviews remarks can be found in your acceptance notification email or you may log in to your SoftConf account to find the comments in Your Reviews. Please take these comments and suggestions into account when preparing the final version of your paper.
- Your final version must be submitted through SoftConf. Please ensure that the metadata in Final Submission Page such as title, abstract and author list is correct since this information will be included in the conference program. The final Camera-ready version has to conform to the manuscript preparation guidelines listed below.
- For all accepted submissions, at least one of the authors should register to the conference (with payment) and attend the conference to present the paper.

Final Full Paper Submission Guideline
- Carefully revise your manuscript until the final version of your paper meets the standard of an IEEE conference paper.
- Click SoftConf to enter the front page of IEEE ROBIO 2022 and then login to access to your User Console.
- In the Submission(s) label column, you would see Your current Submission(s) . Click on Your current Submission(s)
then you would go to a new page where your all accepted submissions
(Paper ID: Title) would be listed.
- Click on eachPaper ID: Title then you would go to a new page where you would see the Final Submission (Accepted Regular Paper)
and/or Final Submission (Accepted Abstract-only/short paper) depending on your accepted Contributed Paper Type. Your Reviews that show your paper review comments and accept status can also be found in this page for your reference.
- Please choose one of two submissions options and click on Final Submission (Accepted Regular Paper) or Final Submission (Accepted Abstract-only/short paper), then you would go your paper/abstract Final Submission Page.
- For the final full/regular paper submission, you are required to fill in the Title of Submission, List of Authors and Abstract, choose your Presentation Type, complete the IEEE eCopyright Transfer form online, and upload the PDF copyright file, final manuscript with IEEE PDF eXpress compliance test result email, and one-page digest PPT slide. If your accepted paper was accompanied by a short demonstration video in the original submission, then you may upload a video, its summary and Readme files in your final submission. The detailed optional video submission guidelines for accepted papers can be found in the Final Submission Page.
Please follow the instructions on the submission page and remember to click submit button after finishing all procedures or filling/uploading all required information and files. Once you have successfully completed your final submission, your will receive an online notification and all submitted files will be listed under File upload information for your review or check. You may revise or re-upload your final submission until the final submission deadline November 1, 2022 (23:59 US Pacific time).
- PDF Copy of IEEE Electronic Copyright: Please MUST complete the web-based IEEE eCopyright Transfer form (click on the link to start the process). Then download the completed PDF copyright from the IEEE’s e-copyright service, and submit/upload it to the final submission system. This is a mandatory submission.
- Final Manuscript Compliance Test: Upload your prepared final full paper (either Word file or PDF file) to the Xplore PDF eXpress (https://ieee-pdf-express.org/) with Conference ID 55434X for a PDF compliance check. Note that, if you upload a Word file, it will be automatically converted into a PDF file during the check process. After completing the check process, if passed, you will receive/get a SYSTEM-GENERATED FINAL PAPER PDF file with a notification or confirmation email from Xplore PDF eXpress, which indicates that your uploaded final paper (either Word file or PDF file) has passed IEEE Xplore PDF compliance check. In the final submission, to prove that your final paper PDF compliance check is passed, please upload the text file of the notification or confirmation email from Xplore PDF eXpress. Please help convert the text email into a PDF file before your uploading it.
- Final Manuscript: Your final paper file should be PDF file only which passes the IEEE Xplore PDF compliance requirement/check. To ensure your final paper file that meets this requirement, please upload the eXpress SYSTEM-GENERATED FINAL PAPER PDF file your received after passing the PDF compliance check (see the information above about Final Manuscript Compliance Test). In addition, to ensure your paper to be included in the conference proceedings and IEEE, authors MUST use the FOLLOWING Word (A4) or LaTeX template (A4) to prepare their final manuscripts! Please DO NOT make changes to the template, including PAGE MARGINS, FONTS, etc.

- Paper size: As for IEEE conferences, the paper size for submission must be A4.
- Paper format: Two-column format in the IEEE style is required.
- Paper Length: Regular 6-page full-length IEEE conference paper, including figures and references, with up to two extra pages with extra page charges at $120/page, for a maximum of eight pages.
- Digest File: Please prepare a one-page PowerPoint slide that summarizes your final paper and upload it with the final submission. You must only use the ROBIO2022 Digest template. Please do not change the template. Keep fonts and font sizes as prepared in the template.
- Presentation Video: Due to COVID-2019, the ROBIO 2022 requires authors to submit a presentation video (10 minutes) for use in case of operating the online/remote mode for the conference or you could not attend, no matter which presentation type (in-person or remote/online) you selected. The video should be self-contained and describe the main contribution of your work. The maximum file size for the presentation video is 50 MB. More requirements for the video can be found in the Final Submission Page. Note that, different from the deadline November 1, 2022 for other final paper/abstract related submissions, the deadline for your presentation video submission is November 10, 2022 (23:59 US Pacific time).
- Similarity report: IEEE recommends a 30% similarity threshold to identify submissions that should be reviewed for possible problems. We will use CrossCheck to complete the examination of the repetition rate for your submitted final full paper and will then notify you if it exceeds this threshold as such paper may not be included in the IEEE database. Please note that for the accepted abstract/short paper that is within 2 pages, this examination is not needed since it does not enter the IEEE database and does not enter the EI search.
Final Abstract-only/Short Paper Submission Guideline
- Please follow the same steps as Final Full Paper Submission Guideline from Step. 1 to 5.
- For the final abstract-only/short paper submission, click on Final Submission (Accepted Abstract-only/short paper) to access the final submission page, you are only required to fill in the Title of Submission, List of Authors and Abstract, choose your Presentation Type, upload your final short paper and one-page digest PPT slide by November 1, 2022 (23:59 US Pacific time), and to submit a presentation video by November 10, 2022 (23:59 US Pacific time). More details about the video preparation and submission, please see the description about Presentation Video above.
- Please follow the instructions on the submission page and remember to click submit button after finishing all procedures or filling/uploading all required information and files. Once you have successfully completed your final submission, your will receive an online notification and all submitted files will be listed under File upload information for your review or check. You may revise or re-upload your final submission until the final submission deadline November 1, 2022 (23:59 US Pacific time) and revise or re-upload your presentation video until the deadline November 10, 2022 (23:59 US Pacific time).
- Although accepted abstracts/short papers will be included in the conference proceedings, they will not be submitted to IEEE for inclusion in the Xplore database. Thus, IEEE Copyright Transfer form IEEE PDF eXpress compliance test, and similarity examination are not required.
